WHAT INFORMATION WE COLLECT

---------------------------

When you place an order or request a quote: your name, your business name and role if you are buying for a company, your email address, telephone number, billing address, delivery address, and the details of what you ordered or asked about.

When you pay: your payment is processed by our payment provider. We receive confirmation that payment succeeded, the amount, and the last four digits of the card. We never see or store your full card number.

When you contact us: the content of your email, message or enquiry form, and any correspondence that follows.

When you sign up to hear from us: your name and email address.

When you browse our website: basic technical and usage information such as which pages were viewed and roughly where in the world the visit came from. This is explained in our Cookie Policy.

We do not collect any special category data, and we do not knowingly collect information from children.

WHY WE USE IT, AND OUR LEGAL BASIS

----------------------------------

Taking, processing and delivering your order -> Performance of a contract with you

Answering enquiries and preparing quotations -> Taking steps at your request before entering a contract

Keeping accounting and VAT records -> Legal obligation

Sending trade customers occasional information about products and offers -> Our legitimate interests in promoting our business to existing and prospective trade customers

Sending marketing emails to individuals who have opted in -> Your consent

Keeping our website secure, preventing fraud, and improving what we offer -> Our legitimate interests in running the business safely and well

You can tell us at any time to stop sending you marketing, and we will. Every marketing email has an unsubscribe link, and you can also simply email us.

WHO WE SHARE IT WITH

--------------------

We share information only with the organisations that help us run the business, and only so far as they need it:

- Squarespace, who host our website and process our online orders

- Our payment provider, who handles card payments securely

- Our delivery couriers, who receive the name, address and telephone number needed to deliver your parcel

- Our accountant, for bookkeeping, VAT and statutory accounts

- Our email software, if you have subscribed to hear from us

- HMRC, our insurers and professional advisers, where the law requires it or where we need advice

We do not sell your information to anyone, and we do not share it for anyone else's marketing.

Some of these providers are based outside the UK, including in the United States. Where information is transferred outside the UK, it is protected by an approved safeguard such as the UK International Data Transfer Agreement or the UK Extension to the EU-US Data Privacy Framework.

HOW LONG WE KEEP IT

-------------------

- Order and invoice records: six years after the end of the financial year they relate to, because HMRC requires it

- Quotations and enquiries that did not become orders: two years

- Marketing contacts: until you unsubscribe or ask us to remove you

- General correspondence: two years

After that, we delete it or anonymise it.

HOW WE KEEP IT SAFE

-------------------

Our website is served over an encrypted connection. Access to order and customer records is limited to people who need it to do their job, and is protected by strong passwords and two-factor authentication where the system supports it. Our suppliers are contractually required to protect your information to the same standard.

YOUR RIGHTS

-----------

Under UK data protection law you have the right to:

- Ask what we hold about you and receive a copy

- Have mistakes corrected

- Ask us to delete your information, where we have no continuing legal reason to keep it

- Ask us to restrict how we use it while a query is resolved

- Receive your information in a portable format, or ask us to send it to someone else

- Object to us using your information for our legitimate interests, or for direct marketing — for direct marketing, we will always stop

- Withdraw consent at any time, where we relied on it

To exercise any of these, email sales@empirelinenhouse.com. We will respond within one month. There is no charge.
